How to update or edit an outlet's profile and data

Outlet profile, data, change, edit, user provided, overridden, auto collected, revert, reset

The new outlets area within the Coverage Vault allows you to view and edit all the outlets across your account. In this article we'll look at how to edit an outlet's profile, and how to see when an outlet's data is being auto-collected by us, when data has been user-provided and where data has been overridden.

We'll also look at how you can make edits to an outlet's profile for all future imports, how to reset an outlet's data and how to update selected clips with your outlet's profile data.

How do I access the outlets area?

Head to the Coverage Vault in your main menu bar and click on the link to outlets.

You'll see a list of all your outlets, ordered by most recently created first. Click on the column headers to sort by A-Z or by highest/lowest value so you can quickly see all your outlets, or search them by name or category.

Editing an outlet's profile

For online and social coverage we'll automatically collect new outlet data each time you import clips from the outlet, so there's nothing you need to do if you'd like us to collect all the data for you.

Its also possible to edit CoverageBook's auto-provided data, so you can choose to use your own audience numbers, or edit any of the text fields in an outlet if you'd like to change the name or descriptive text.

Note - if you change any data in the main profile page of an outlet, we will use this data for all future clips you import from this outlet. This replaces the previous 'save for future use' checkbox in the individual clip edit page.

In the outlet profile page, click on the green edit button.

You can now edit any of the fields in the outlet profile, like the name, description and metrics. Once you've made your changes, click Save.

You'll now see a 'user-provided' label next to the metrics you've chosen to override, and we'll list all the data fields that have been edited.

And in the outlet profile edit page, you'll see a user provided icon and the original text or value for any fields that have been edited.

Once you've saved your edits in the main outlet profile page, this data will be used for all new imports you make to this outlet. You can choose to reset back to our defaults any time.

What is auto-collected data (CoverageBook provided data)?

CoverageBook automatically collects data for online web articles and the social platforms we support.

You'll see an 'auto-collected' message in the profile page of any outlet when the data for this outlet is all provided automatically by CoverageBook. This will mean we'll collect new audiences, views, engagements and logos each time you import clips from this outlet.

We'll also show the last date that we collected data for this outlet.

For web articles you'll also see a SimilarWeb and Moz logo when an outlet's audience and Domain Authority are set to automatically collect data from our providers, so you know this data is being provided by CoverageBook.

Will an outlets logo image update automatically too?

Yes. For online and social content we'll update new clip imports with a new outlet logo if it gets updated in the future.

Don't worry if you don't see an outlet logo in the profile page or when editing an outlet's profile (see images below) - it'll mean we'll auto-collect a new logo for each new clip you import so it'll stay up to date if the logo changes in future.

Will CoverageBook collect new data each time I import coverage from an outlet?

Yes, if you are using CoverageBook's auto-collected data, we'll collect new data each time you import a URL for a webpage or social post.

How can I see which outlets were user-created, or ones CoverageBook automatically created?

You'll see a User or System logo in the outlet list to show which outlets were created manually, and which were created by CoverageBook's system as you import URLs.

What is user-provided data (manually added data)?

If you've created any outlets manually, such as a print publication, you have the option of adding in your own data (eg print Circulation). We'll show a 'user-provided data' message in the outlet's profile so you'll know that this outlet has been created by one of your account users and the last time it was updated.

If you'd like to edit any of the data click on the edit button and you can change any of the fields.

Click save when you're done. we'll use the updated outlet profile data for each new clip you assign to this outlet in future.

What does "some values have been overridden" mean?

If you've made any edits to a default online outlet profile, you'll see a message that "some values have been overridden" and we'll show you which data has been edited.

You'll also see orange dots next to any data that's been overridden for clips in this outlet in the list below the main profile page, so you can quickly see which clips have been edited.

If you click into the Edit menu for an outlet, we'll show any values that have been overridden, including the outlet name, description and any metrics that have been overridden from our default automated values.

We'll show this symbol next to any text that's been edited:

And a 'User-provided' label for any data that's been edited:

You'll see the original number or text below each field - hit the reset button if you want to revert back to using the outlet's default information.

Note - if you change any data in the main profile page of an outlet, we will use this data for all future clips you import from this outlet. This replaces the previous "save for future use" checkbox in the individual clip edit page.

Can I reset an overridden value to auto-collect data for an outlet?

If any of an outlet profile's data has been previously overridden, and you would like to reset back to using CoverageBook's automated data, click on the green edit button on the outlet and you'll see the option to reset any fields back to auto-collected data.

Click on the 'reset' link on any data or text fields, and click save to reset those back to the original values.

Any new clips you import from this outlet will now collect new data from CoverageBook. You'll now see the SimilarWeb and Moz logos are shown on the Outlet's profile page to confirm we're collecting data for you.

If you want to reset any text fields hit the reset link and click save to revert back to the original text name or description for the outlet.

Note - resetting an online or social outlet's data will ensure future imports collect new data provided by us. If you want to update any previously imported clips, check out the next section below!

Can I update my previous clips with the outlet profile data?

For online and social coverage we'll collect new outlet data (audiences, DA etc) each time you add new clips to your account, so you'll see how those numbers change over time.

There are occasions when you might want to update some or all clips with an outlet's profile data, such as print circulation numbers, or perhaps to update an influencer's clips with their current follower number. Or, if you're looking to update previously edited clips to show the current outlet data.

If you would like to update previous clips to show the current outlet profile's data , you can select all clips, or just a few using the checkboxes below the main outlet profile.

You'll now see an 'update with profile data' button. We'll show a confirmation with an overview of what data will be updated on the selected clips.

If you'd like to proceed, click the update button and all selected clips will now be updated with the current outlet profile data.

Note - once you confirm and update selected clips with the profile data, this cannot be undone.
